Purposes of the data processing

To enable UPHF staff and students to upload videos of an educational, research or personal nature.

The videos may contain images of students, teachers, or any other person featured in the videos.

The platform is accessible on the Internet at https://pod.uphf.fr

To upload videos, it is necessary to be authenticated, staff and students are authorized to upload video files:

For staff, the most frequent uses concern the diffusion of pedagogical content, research, particular events (conferences), or any other professional or personal content
For students, the videos can be related to their training (exams, practical work), their university curriculum (CV), or any other content allowing them to be valued.

The platform also allows to broadcast live particular events (open days, conferences, communication ...)

Legal basis: 

Consent of the person, Article 6.A of the RGPD.

To submit videos containing filmed and recognizable people, the user must necessarily have the consent of these people.

Category of persons concerned:

Any recognizable person in videos uploaded by UPHF students and staff.

Category of data processed:

Images and voices of the persons filmed, and potentially any personal data that may be filmed (vehicle license plate, filmed paper document containing personal data, ...)

Category of data recipients:

The videos can be accessed from the Internet.

The video files are deposited on servers managed by the system administrators of the ISD responsible for ensuring the proper functioning of the platform

Data retention period:

The user who uploads content has the ability to set a date on which the content will be deleted. If the user does not set this date, the contents are kept :

- 3 years if the content was uploaded by a UPHF faculty or staff

- 1 year if the content was uploaded by a student.

Users are automatically notified several times when their content is due to expire: 60 days, 30 days, and 7 days before deletion. 

Unless there is a special arrangement, uploaded videos are automatically deleted when the user no longer has an access account (staff leaving, student not enrolled). 

Data security:

The POD platform is hosted in the university's information system, the IS security policy is defined by the CISO.

The access to the platform is done in https.

The platform is protected from the Internet by a firewall.

Administrators access the servers through secure communication protocols (SSL).

Backups are made daily.

Personal rights:

The users of the platform have the right to access, modify and delete their data, which they can exercise from the POD homepage at Contact us! or with the Data Protection Officer dpd@uphf.fr
